What is the difference between WhatsApp Business and personal?

WhatsApp Business is built to give businesses tools the regular app does not offer: a profile with business hours and address, automated replies, labels for organising conversations, and API access for full automation. WhatsApp personal is designed for individual conversations and has no official support for business use or connection to external systems.

The most significant difference is that WhatsApp Business allows you to connect your number to CRM systems, schedule messages, and build automated response processes through the API. WhatsApp personal does not offer this, and anyone using it for business is limited to manual sending only.

In practice, when a business moves from personal WhatsApp to Business with integration, the biggest change is that information from conversations flows directly into the management system instead of staying in the chat.

What types of WhatsApp Business are there?

There are three versions of WhatsApp Business, and they are not interchangeable.

WhatsApp Business App is a free application you install from the store, designed for small businesses. It allows you to set up a business profile, send pre-prepared quick replies, and set an away message. You can manage up to four devices simultaneously. It has no API, no option to connect it to a CRM, and no full automation.

WhatsApp Business API (or WhatsApp Cloud API) is an interface for medium and large businesses that want to connect WhatsApp to automation systems. It does not work through a separate app - it connects through code or automation platforms like n8n. You can send messages through a workflow, receive incoming messages directly to your CRM, and build chatbots. Meta does not charge a subscription fee for using the API itself, but there are conversation rates by category: service conversations, marketing conversations, authentication conversations.

WhatsApp Business Platform is the general term Meta uses to describe all business tools, including the API and the management tools around it.

Most businesses that approach us start with the free app and move to the API when they need real integration with their management systems.

Can you transfer a number from personal WhatsApp to Business?

Yes, you can transfer an existing number from personal WhatsApp to WhatsApp Business, but it is not an automatic process and it is one-way.

When you transfer a number to WhatsApp Business, you need to delete the personal account from that number and register again through the business app or through the API. Conversation history does not transfer with you - it stays on the old device but does not sync to the new account. Your contacts will see the new number as a business account, with the green badge and business details.

If you are moving to WhatsApp Business API through Meta Business, the process requires business verification. Meta checks documents, and sometimes it takes several days. After approval, the number is linked to the business account in Meta Business Manager, and from there you can connect it to automation tools.

Important to know: you cannot use the same number on both personal WhatsApp and Business simultaneously. After the transfer, the number is linked only to the business account.

What can you not do in WhatsApp Business that you can in personal?

WhatsApp Business is limited in several ways that personal WhatsApp is not.

You cannot use a business account for group voice or video calls. You can make a one-on-one call, but there is no support for calls with more than one participant. This is not a technical limitation - Meta simply has not opened this feature to business accounts.

You cannot create personal statuses (Stories) in a business account. This feature exists only in personal WhatsApp. Businesses can send marketing messages through the API, but cannot post a status that appears in contacts’ feeds.

Additionally, a business account cannot be part of regular WhatsApp groups as an admin or regular member. You can receive messages in groups created through the API, but cannot join an existing group that someone else opened.

These limitations do not affect most businesses, because the main use is responding to customers and sending messages, not calls and status updates.

How do you connect WhatsApp Business to a CRM?

Connecting WhatsApp Business to a CRM requires using the WhatsApp Cloud API, not the free app.

The process starts with registering the business in Meta Business Manager, verifying the number, and setting up an application that gets access to the API. After the number is approved, you can connect it to automation tools like n8n or Make, which transfer messages between WhatsApp and the CRM.

We build this connection with n8n workflows. When a message comes into WhatsApp, a webhook receives the information and a workflow checks if the contact exists in the CRM. If yes, the message is added to the customer card. If not, a new card opens with the details. You can also set up automated responses based on conditions - for example, if a customer sends “price”, the system pulls the price list from Google Sheets and sends a response.

The connection also works in the opposite direction: you can send messages from the CRM through WhatsApp. If a representative updates a deal status in the CRM, a workflow can send the customer an automatic update message.

Popular CRM systems like Monday, HubSpot, Pipedrive, Salesforce, and Zoho all support this connection through API. Some offer built-in integration, but most businesses need a custom workflow that handles their specific logic.

How much does it cost to use WhatsApp Business?

WhatsApp Business App is completely free. There is no cost for the download, no monthly subscription, and no payment per message.

WhatsApp Cloud API works on a pay-per-conversation basis. Meta defines a conversation as a 24-hour window from the moment a business or customer opens a correspondence. There are three pricing categories:

  • Service conversations: when a customer contacts you and you respond within 24 hours. These are the cheapest.
  • Marketing conversations: when you open a conversation with a customer to send a promotion, update, or promotional content. These are more expensive.
  • Authentication conversations: messages with a one-time code for user authentication.

Prices vary by country. The pricing changes from time to time and Meta publishes them on its official pricing page.

There are one thousand free conversations per month for each business account, and then billing starts. A business that receives 50 inquiries per day and responds to all within 24 hours will only pay for part of the conversations, because part will fall within the free quota.

Beyond payment to Meta, there is a cost for building and maintaining the automation itself. If you work with n8n in the cloud, there are subscription fees based on the number of workflows and executions. If you run n8n on your own server, the cost is the server and maintenance.

Is WhatsApp Business as secure as personal?

Yes. WhatsApp Business uses the same end-to-end encryption as personal WhatsApp. Messages are encrypted on the sending device and decrypted only on the receiving device, and Meta cannot read the content.

The difference is in what happens after the message reaches you. In personal WhatsApp, the message stays only in the app. In WhatsApp Business with CRM integration, the message passes through your API, is saved in the CRM database, and sometimes also passes through intermediate servers like n8n.

This means the responsibility for securing the information after it leaves WhatsApp passes to you. If your CRM is not secure, or if the workflow exposes information in a log, that is your problem, not Meta’s.

When should you switch from personal WhatsApp to Business?

You should switch when you start receiving more than ten inquiries per day through WhatsApp, or when you need more than one person to be able to respond to customers.

If you are still manually responding to every message and do not need to document the conversations in another system, the free WhatsApp Business App is sufficient. It gives you a business profile, quick replies, and labels for organising conversations. This upgrades the experience without adding cost.

If you already use a CRM, or if you want to send automated messages based on events (order received, shipment sent, appointment reminder), you need the API. This is the moment to move to WhatsApp Cloud API and build an integration.

Can you use both accounts simultaneously?

Not on the same number. Each phone number can be linked to only one account - personal or business.

If you want to separate personal and business use, you need two numbers. The common way is to keep your personal number on personal WhatsApp, and open a separate number for the business on WhatsApp Business. You can run both accounts on the same device if you have two SIM cards, or if you use a separate app for the second number.

Some businesses use a dedicated number for WhatsApp Business and publish it on the website, in marketing materials, and in email signatures. The owner’s personal number stays private.

If you move to WhatsApp Cloud API, the business number must be dedicated. You cannot use the same number on both the API and the regular app simultaneously, because the API takes full control of the number.
